Overview

Are you highly organized and detail-oriented? Join our team as a Compliance Coordinator – COI Management. The Compliance Coordinator – COI Management is responsible for overseeing all activities related to vendor insurance compliance. This role ensures the proper collection, organization, and tracking of Certificates of Insurance (COIs) and associated documents. The position requires close coordination with internal departments, vendors, and third-party insurance agents to resolve non-compliance issues and maintain up-to-date compliance records.

 

Pay: $18/hr

Responsibilities

  • Key Responsibilities

    • COI Documentation & Tracking
      • Maintain and routinely update the COI missing documents spreadsheet to reflect current status and outstanding items.
      • Monitor the receipt and accuracy of COI documents submitted by new and existing vendors.
    • Vendor Onboarding & File Management
      • Collect documentation from new vendors and create dedicated folders for each vendor in the designated system.
      • Ensure seamless collaboration with the A/P Setup Team, Operations Team, vendors, and insurance agencies to address COI compliance during onboarding.
    • Compliance Monitoring & Updates
      • Track and manage incoming and outgoing vendor documents to maintain up-to-date compliance status.
      • Update vendor accounts regularly on the COI Compliance platform or database.
    • Document Review & Issue Resolution
      • Review submitted COI documents to assess completeness and compliance with organizational standards.
      • Recommend appropriate corrective actions for non-compliant or expired documents.
    • Stakeholder Communication
      • Facilitate effective verbal and written communication with internal teams (Legal, Operations, A/P) and external stakeholders (Vendors, Insurance Agencies).
      • Provide support in resolving COI compliance issues for both consignment and wholesale vendor accounts.
    • General Support
      • Assist with additional compliance-related tasks and projects as assigned by management.
      • Other duties as assigned

Qualifications

  • Prior experience in compliance, insurance documentation, risk management, or administrative coordination preferred.
  • Strong organizational and time management skills.
  • Attention to detail with the ability to identify discrepancies and follow through on corrective actions.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Excel, document management systems, and web-based compliance platforms.
  • Ability to work independently and collaboratively across departments.

Preferred Skills

  • Knowledge of vendor onboarding processes and insurance documentation requirements.
  • Familiarity with COI compliance platforms or enterprise vendor systems.
