Overview

As the Procurement Associate, you'll be orchestrating the day-to-day functions that keep our sites running smoothly for services and supply items under Procurement management. Services include, but are not limited, fire life safety, pest control, waste removal, as well as seasonal landscaping and cold weather event management.  Supply item requests can also range from everyday cleaning chemicals to food service equipment sourcing, purchase and sustainable access for reordering. 

 

You will use your experience and creative problem-solving skills in completing a variety of tasks, as well as liaising with external vendors & internal departments. This is all done in a remote setting!

 

Pay: $18/hr

Responsibilities

  • Efficiently distribute, document and manage service request workflows, ensuring timely resolution by vendors.
  • Demonstrate strong problem-solving skills to tackle unique situations.
  • Verify, approve, and track vendor invoices for payment.
  • Facilitate the setting up of new vendors and provide training on work order systems and procedures.
  • Monitor and manage vendor performance, including developing performance metrics and conducting meetings.
  • Ensure contract term compliance and manage general contract administration.
  • Obtain requirements to source supply items, evaluate the marketplace for appropriate suppliers and assist in developing sustainable access to inventory for reordering for company end users.
  • Evaluate existing processes and propose alternative solutions for improvement.
  • Support the Procurement team in implementation of new procedures and processes as needed.
  • Provide compliance support and train internal departments on Procurement policies and procedures.
  • Analyze data from various systems to assess operational effectiveness.
  • Assist with the RFI/RFQ/RFP process.
  • Effectively manage time to prioritize and organize daily activities under general supervision.
  • Contribute to the development of long-term procurement strategies aligned with business requirements.
  • Draft standard operating procedures (SOPs) for the department and ensure their maintenance.

Qualifications

  • Proficient multitasker adept at meeting multiple deadlines.
  • Strong analytical and organizational abilities.
  • Excellent written and verbal communication skills.
  • Demonstrated experience in procurement/purchasing as an analyst/buyer.
  • Familiarity with sourcing and procurement methodologies.
  • Skilled in negotiation and building vendor relationships.
  • Capable decision-maker with basic accounting knowledge.
  • Experience in data collection and analysis.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, Outlook).
  • Familiarity with ERP and P2P systems is preferred.
  • Proven ability to excel in a remote home office setting.
  • Proven ability to work within complex team structures and high demand work environments.
  • Expected to work 40+ hours per week in a remote environment.
  • Willingness to travel up to 10% for vendor evaluations, site visits, and company meetings/events.
  • Possession of a valid driver's license.

 

  • Preferred Qualifications:
  • Accredited Purchasing/Supply Chain Certification.
  • Previous experience in the convenience store (C-store), grocery, or restaurant sectors.
  • Familiarity with PDI, Service Now, Smartsheet, and/or Laserfiche.
  • Understanding of wholesaler supply/business processes.
  • Supply chain management experience with an organization of 500+ profit/business sites.
  • Experience in facility maintenance operations.
  • Experience in an administrative or licensing support role is preferred but not required.
  • Familiarity with licensing or regulatory processes is a plus.
